This website

This site is hosted by Webflow, which keeps standard server logs, such as IP addresses, to run and secure it. We also use Webflow's built-in analytics to understand how the site is used: which pages are visited, roughly where visitors are (country or region), and what device and browser they use. We use this only to improve the site. It isn't used for advertising, we don't use third-party tracking, and we never sell it. You can opt out of analytics at any time using the banner on the site. If you book a call, you'll go to our booking page, which collects the details you enter there.

What we collect, and why

When you get in touch

Your name, email address, company and anything you tell us, so we can reply and arrange a conversation. Our lawful basis is legitimate interests, or taking steps at your request before a contract.

When we think you might be a fit

Signal-led new business is what we do, including for ourselves. We may hold business contact details from public sources, such as professional networking sites and company websites, along with publicly available company news, so we can decide who to contact and when. We only use work details, never personal ones. Our lawful basis is legitimate interests, and you can ask us to stop at any time.

When you're a client

Contact and billing details, the notes and documents from our work together, and recordings or transcripts of calls where you've agreed to them. Our lawful basis is the contract between us, and keeping financial records the law requires.

When you share how you work

Founder work can involve information about health, neurodivergence or wellbeing, including through the Chaos Scale and Workflow Map. You never have to share a diagnosis to work with us. Anything you do choose to share is used only to design your system, kept confidential, and never shared with your employer or anyone else without your permission. Our lawful basis for this is your explicit consent, which you can withdraw at any time.

Access to Work

If Access to Work is funding your sessions, we share only what your claim needs, such as invoices and session dates, and only at your request.

Working inside your systems

When we work in your CRM, inbox or other tools, we process that data on your behalf and under your instructions, as set out in our agreement with you.

Who helps us

We use a small number of trusted providers to run the business: website hosting and analytics, email and file storage, customer relationship management, scheduling, meeting notes and transcription, workflow automation, accounting, and AI tools that help with research and drafting. A small team of contractors works with us under confidentiality agreements. Each provider only gets what it needs to do its job, and we never sell your data. If you'd like to know who a specific provider is, just ask.

Some of these providers are based outside the UK, mainly in the US and EU. Where your data leaves the UK, we rely on UK adequacy decisions or the safeguards the law requires, such as standard contractual terms.

How long we keep it

Enquiry and prospect details are kept for up to two years after our last contact, unless you become a client or ask us to delete them sooner. Client records are kept for six years after an engagement ends, because the law requires it for financial records. Anything you share about how you work is deleted twelve months after our work together ends, unless you ask us to keep it so we can pick up where we left off.

Your rights

You can ask us to show you the data we hold about you, correct it, delete it, limit how we use it, or send it to you in a portable format. You can object to us contacting you, and withdraw any consent you've given. Email dan@workflowintelligence.co and we'll respond within one month.

If you're unhappy with how we've handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk.

Changes

If we change how we handle your data, we'll update this page and the date at the top.
